The rest are often not uninterested but forgot or had a schedule conflict. Designing reminders and post-event content lifts both attendance and conversion.

Three reminders are enough

Send too many and you create fatigue; send too few and you’re forgotten. Excluding the confirmation email right after registration, three is usually about right.

When choosing a webinar topic, start from the questions customers ask most. Collect the five questions sales or support get repeatedly, and one of them will make a great topic. When attendees’ expectations are clear from the registration step, attendance naturally rises.

One day before: a preview of the content and a calendar link

Morning of: the join link and what to prepare

One hour before: a short alert with a quick link

Give value to no-shows, too

Registrants who didn’t attend are customers at the moment their regret over what they missed is greatest. Send the recording, slides, and a key-points summary right after the event ends. In practice, many conversions come from no-shows coming back.

The questions on your registration form are part of the design. Even asking one line about company size or current challenge helps greatly in tailoring the presentation and follow-up messages. But the more questions you ask, the lower the registration rate, so keep only the information you will really use.

A webinar isn’t a one-hour event; it’s a conversation spanning the two weeks before and after.

The Story Light editorial team

Offer attendees a next step

Attendees who watched to the end are high-interest leads. Offer just one next step that flows straight on, such as an answer to their question, a related resource, or a consultation request. The more choices, the fewer actions.

Questions from the webinar are a treasure trove of follow-up content. If you compile even the questions you couldn’t answer and return answers within a week as a post or short video, attendees feel respected. Small follow-ups like this raise attendance at your next webinar.

Attendance is decided on the registration page

A large part of attendance is already decided before the webinar, on the registration page. When it’s clear at a glance what problem it covers, what attendees will take away, and how many minutes it runs, registrants’ expectations are sharp. When the topic is vague, it’s the first thing dropped when a schedule conflict comes up later.

Keep the host and speaker bios short, but say in one sentence why this person can speak on this topic. Letting people add the event to their calendar right from the registration confirmation screen often reduces forgetting.

Put the customer’s problem right in the title

Summarize what they’ll take away in two or three lines

State the length and question time up front

Provide a calendar link right after registration

How the day itself is run affects conversion

On the day, within the first five minutes tell attendees today’s agenda and how to submit questions. Much of the reason attendees drop out midway is not knowing where they are. Assigning someone to take questions in the chat lets the speaker keep their flow.

At the close, present the next step once out loud and once on screen. Say it only aloud and it’s easy to miss; show it only on screen and it’s easy to overlook. Scheduling an email with the same instructions to arrive right after the session ends carries people to the next step before the energy fades.

If you plan to run webinars repeatedly, record the same items every time. A single sheet with registrants, attendees, the points where many dropped off, the types of questions, and the number that led to consultations is enough. As records accumulate, you can judge which topics, days, and time slots suit your customers based on evidence, not gut feeling.

It’s fine to start small. Even with few attendees, high-quality questions can be a good sign in themselves. Rather than judging by one number, look at the substance of the conversations you have with attendees afterward.

When scheduling, consider your customers’ work rhythms too. Many teams avoid Monday mornings and Friday afternoons and try the Tuesday-to-Thursday window first, when work eases up a little. Industries differ, though, so for the first few sessions I recommend varying the day and time and comparing results.

When sharing the recording, don’t send a long video as is; include a chapter list by topic with start times, and completion rates go up. That’s because even busy people can pick only the parts they need.

Attendees who left a question are especially interested customers, so sending a short personal email with the answer is also a good approach. The sense of a reply written for one person rather than a mass send opens the door to a follow-up conversation.

Summary

After the webinar ends, sort out the question list and reuse it as an FAQ or blog post. One webinar becomes content that serves for months as search traffic and sales material.

Only about 40% of webinar registrants actually attend.
